How does remote online notarization work?

Remote online notarization (RON) lets a commissioned notary witness and notarize documents over a secure live video session — no in-person meeting required. In NotaryNexus, the process follows three phases:

  • Upload & Validate You (or your dealership team) upload the documents. Our AI scanner checks for blank pages, missing fields, legibility issues, and flags anything that would cause a rejection.
  • Identity Verification The buyer answers knowledge-based authentication (KBA) questions and uploads a photo ID. Once verified, they are queued for a live notary session.
  • Live Session & Signing The notary joins a secure video room, confirms identity, and guides the buyer through every signature field. The session is recorded, and the signed documents are sealed with a digital notary certificate.

The final signed-and-sealed PDF is stored in your order dashboard and can be downloaded immediately. Most sessions complete in under 30 minutes.

What types of documents can I notarize?

NotaryNexus supports any document that requires a traditional notarization. The most common categories include:

  • Vehicle Sales & Titling MVPA (Motor Vehicle Purchase Agreements), title transfers, odometer disclosures, power of attorney for vehicle transactions, and lien releases.
  • Real Estate Warranty deeds, quitclaim deeds, mortgage refi documents, HELOC closing packages, and seller affidavits.
  • Financial & Legal Promissory notes, loan agreements, spousal consent forms, trust certifications, and sworn statements.
  • Identity & Travel Passport parental consent forms (DS-3053), I-9 employment eligibility forms, and travel authorization letters for minors.

How does AI document validation work?

Before a notary session begins, every document runs through our validation pipeline to catch issues that waste time and cause rejections. The pipeline checks:

  • Completeness Are all required fields populated? Is there a visible signature line for every party?
  • Legibility Scanned images are checked for blur, glare, low contrast, or clipped edges.
  • Continuity Multi-page PDFs are checked for missing or duplicate pages.
  • Compliance Certain document types (e.g., MVPA, deeds) are checked against known templates to flag missing boilerplate clauses or non-standard formatting.

The results are surfaced as a validation report attached to the order. Green flags mean go. Yellow flags mean the notary will review. Red flags mean the document needs correction before a session can be scheduled — and the platform tells you exactly what to fix.

How do payments and billing work on the platform?

NotaryNexus uses a prepaid wallet system to keep transactions simple and predictable.

  • Wallet Top-Up A dealership admin adds funds via credit card or ACH. The funds land in the dealership wallet and are available immediately.
  • Per-Order Pricing Each notarization order draws a fixed fee from the wallet at the time the notary session is completed. There is no per-minute billing and no surprise charges.
  • Invoicing Every payment generates a downloadable invoice attached to the order. You can export invoices in bulk for your accounting system.
  • Refunds If a notary determines the session cannot proceed (e.g., the buyer fails identity verification), the order is cancelled and the wallet balance is not charged.
